What is an EAN Code?

Firstly an EAN code is a 13-digit barcode that encapsulates essential information about a product, such as its origin, manufacturer, and specific product details. Check Digit

Documents Required for registration

PAN Card:

For the applicant company or proprietor in the case of a proprietorship firm.

Balance Sheet:

Providing evidence of the annual sales turnover of the business.

Company Letterhead:

A formal request for barcode allotment on the company's official letterhead.

Proof of Company Status:

This varies based on the type of entity, such as GST/VAT registration certificate, partnership deed, ROC certificate, MOA, or ROS certificate.

Cancelled Cheque Copy:

Serving as a financial verification document for the company.

Payable at the time of registration.

Subscription Fees:

Based on the validity period of the subscription.

Security Deposit:

Interest-free and refundable security deposit payable at the time of registration.

Step by step process

Step 1: Register with GS1

The first step is to register and pay an annual GS1 membership fee.

You can get in touch with GS1 directly or one of the many member organizations that are spread out all over the world.

The GS1 website has information on these members' organizations.

Step 2: Get a barcode prefix

After registering with GS1, you must obtain a GS1 company prefix, which can be between six and twelve digits. 

You can generate more barcodes with a given company prefix the fewer digits there are in the prefix. As a result, it is wise to minimize the number of prefix digits.

Step 3: Choose a barcode package

After that, purchase a barcode package that is appropriate for your company.

You are better off purchasing a greater number of barcodes because the price per code decreases as you purchase more barcodes.

After payment, a GSI barcode ownership certificate will be given to you, which you can use if you ever decide to sell any unused barcodes.

Step 4: Assign digits to your products

The next step is to give the products or services you want to sell digits.

Your company's assets, locations, logistical divisions, and service relationships can all be given digits.

It's also crucial to remember that every distinct version of your product needs a different set of barcode numbers.

Step 5: Create the barcodes using the GS1 interface

For those that want to design their own barcodes from scratch, GS1 provides a Data Driver interface. 

First, the type of barcode you choose must be suitable for your products

Choose a barcode size that works for your products next 

Your barcodes should be formatted to make the readable digits clear. 

This is crucial as a barcode reader or scanner cannot read the code, the numbers must be manually typed into the computer.

The next step is to select a barcode color

The best option is to use a white background and black barcodes, while you can also use different colors as long as the background is light and the bars are dark.

Note:

1. Working days after submitting the registration form and necessary documents, along with fee payment.

2. Only brand owners can apply for barcode numbers.

3. In case you are not the brand owner, you need to apply separately for each company/brand.

4. You may apply for barcode numbers out of multiple capacity options of 100 / 1,000 / 10,000 or 1,00,000 numbers.

5. The number of barcodes applied for cannot be changed later. Make sure you take into consideration the total number of SKUs/product variants you have, and also what you're likely to add in the next few years before you apply.

6. If you exhaust barcode numbers allocated to your organization, you'll need to go for new registration for more barcodes.

7. In some instances, additional company documentation may be required prior to allocation of GS1 barcodes.

8. Subscription should be renewed well before the expiry date for continued use of barcode numbers.

Once obtained, it's essential to ensure that the EAN code is appropriately placed on the product or its packaging. Adhering to standard size recommendations, the code should not occupy more than 25% of the product, maintaining clarity with a black code on a white surface.
