Key concepts and essential elements of e-way bill 

Supply type

Supply type refers to the nature of the movement of goods. It indicates whether the movement is outward supply or inward supply.

Inward Supply

This is when goods are coming into a business. For example, when a company receives goods from a supplier, it's an inward supply.

Outward Supply

This is when goods are leaving a business. For instance, when a business sells products to a customer, it's an outward supply.

Sub supply

Sub Supply Type serves as a detailed categorization within the broader classifications of outward supply and inward supply to help in further classification of the nature of the supply for documentation purposes in the e-way bill system.

Document Type

Document Type means the specific kind of document that serves as proof of a transaction involving the movement of goods. Different types of transactions require different documents.

Common document types in e-way bills include

1. Tax Invoice: Typically used for regular sales transactions where taxes are applicable.

2. Bill of Supply: Used when a sale is made without the application of taxes, as in the case of exempt goods.

3. Delivery Challan: Often used for the transportation of goods for various purposes, such as job work, without an immediate sale.

4. Bill of Entry: Relevant for import transactions, documenting goods entering the country.

Note: The choice of the document type depends on the nature of the supply.

Transaction type 

Transaction Type means the specific arrangement or nature of a business transaction related to the movement of goods.

Different transaction types include

1. Regular: A standard transaction where goods are typically sold and shipped to the buyer.

2. Bill To-Ship To: This involves a scenario where the bill is raised to one party (Bill To) but the goods are shipped to another party (Ship To). It's common in drop-shipping or when a middleman is involved

3. Bill From-Dispatch From: In this scenario, the bill is raised by one party (Bill From), but the goods are dispatched from another location (Dispatch From). This could occur in cases where inventory is managed centrally but shipped from different warehouses.

4. Combination of 2 and 3: This implies a combination of any 2 or 3 transactions like Bill To-Ship To and Bill From-Dispatch From scenarios, indicating a more complex transaction where billing and dispatch originate from different entities.

Dispatch From

This is the place or location from which the goods are being dispatched or sent. It could be the supplier's place of business or any other location where the goods are originating.

Shipping To

This is the destination or receiving location where the goods are being shipped or transported to. It typically represents the place of business of the recipient or buyer.

Part A

Transporter ID 

Transporter ID is a 15-digit unique number generated by an e-way bill system for transporters who have not registered themselves under GST. This ID helps in tracking and identifying the transporter involved in the movement of goods.

When generating an e-way bill, the person responsible for the transportation (the transporter) needs to provide their Transporter ID along with other relevant details. This ID could be a Goods and Services Tax Identification Number (GSTIN) if the transporter is registered under GST, or it could be a unique identifier ID assigned by the e-way bill system.

Transporter name

Transporter name is the name of the individual or company responsible for transporting the goods from one location to another.

Part B

Vehicle number

Vehicle number is the registration number of the vehicle that is being used to transport the goods. 

Approx. Distance in KMS

Approx. Distance in KMS refers to the estimated distance in kilometers that the goods are expected to travel during their transportation.

Transport mode

Transport Mode is the method or mode of transportation used for carrying goods from one place to another. It indicates the type of conveyance or vehicle employed in the movement of goods.

Common transport modes include

1. Road: Transportation by road, typically involving trucks, lorries, or other road vehicles.

2. Rail: Transportation by rail, involving trains for the movement of goods.

3. Air: Transportation by air, which is often used for expedited or long-distance shipments.

4. Ship: Transportation by sea, commonly used for international shipments.

5. Combination: A combination of different modes, such as ship and road or rail and road.

Transporter Doc Number

Transporter Doc Number is a unique identifier associated with the document issued by the transporter for the transportation of goods

Transporter Doc Date

Transporter Doc Date refers to the date mentioned on the transport document issued by the transporter for the movement of goods.

Verify HSN Codes

HSN codes are recognized codes that classify goods for taxation and other purposes. Verify HSN Codes" feature in an e-way bill system is designed to ensure the accuracy of HSN codes provided for the goods being transported.
