However, customizing ERPs to align with the standard e-invoice schema can be a complex task. Non-integration may pose challenges for companies dealing with large invoice volumes, emphasizing the need for seamless integration to ensure compliance.

Sorting of B2B and B2C invoices: 

E-invoicing currently applies only to business-to-business (B2B) transactions, excluding business-to-consumer (B2C) invoices. Managing and automating the sorting of invoices is essential to distinguish between B2B and B2C transactions accurately. Failure to automate this process can result in significant time and effort investment, hindering operational efficiency.

Cancellation and amendment of e-invoices: 

E-invoices cannot be partially canceled; instead, the entire invoice needs to be canceled for even minor changes. Cancellation is allowed within 24 hours on the IRP, after which it must be done on the GST portal. Additionally, raising a new e-invoice with the same number is not permitted. Taxpayers must revise the invoice number and raise a new e-invoice, adding complexity to the amendment process.

The Invoice Registration Portal retains data for only 24 hours, necessitating an alternative archiving arrangement. As the IRP does not offer data archiving, businesses should establish systems for storing e-invoice data for future reference. Although the e-invoice data is sent to the GST portal, separate archiving measures are crucial to ensure compliance and facilitate record-keeping.

Reconciliation of e-invoice data: 

To avoid penalties and maintain accurate financial records, businesses must reconcile e-invoice data with e-way bill data and the GSTR-1 return. While the e-invoice data is shared with the e-way bill and GST portals, the government recommends conducting independent reconciliations to identify any discrepancies. Employing reconciliation tools or utilities can streamline this process and help businesses avoid compliance-related issues.

Non-applicability of e-invoicing to B2C transactions:

Although e-invoicing currently applies only to B2B transactions, certain entities must generate and print a dynamic QR code for business-to-consumer (B2C) invoices. The government's aim is to enhance transparency and curb fraud in B2C transactions. While this requirement is not yet mandatory, businesses should stay prepared for future changes in legislation to ensure compliance.

Workflow changes for other types of documents: 

It's important to note that e-invoicing only affects B2B transactions. As a result, businesses must establish separate workflows for processing delivery challans, bill of supply, job work, and other similar transactions. This necessitates additional time and effort investment to adapt existing processes and ensure a smooth transition for different types of transactions.
