What Is a Unique Document Identification Number (UDIN)?

Authenticity is instrumental in a world of professional certifications and compliance. To address the issues of forgery of documents and promote transparency, the Institute of Chartered Accountants of India (ICAI) introduced the Unique Document Identification Number (UDIN) in 2019. UDIN is an 18-digit number that Chartered Accountants (CAs) generate for every certification, audit report or financial document they release. The UDIN will verify the veracity of the document and help curb misuse of the documents.

Why Was UDIN Introduced

The main objectives of launching UDIN are:

To Prevent Forgery:

In the past, a number of forged certificates and unauthorised use of Chartered Accountant signatures were reported. UDIN provides a tool for financial documents issued by a CA to be uniquely identified, which would be almost impossible to duplicate or supersede if fraudsters tried to forge them.

To Provide Confidence:

UDIN enables regulators, banks, government agencies and sometimes clients to verify the validity of a document by cross-checking it on the ICAI portal, which gives them confidence that the financial records are most likely to be credible.

To Provide Regulatory Compliance:

UDIN provides a regulatory measure for the Government of India, SEBI, and RBI that financial reporting and financial certifications should be fully compliant. This regulatory step guarantees improvement in corporate governance in Indian corporations as well as increases the transparency of actions of corporations in India.

How to Generate a UDIN

Follow the steps below for UDIN Generation and Submission:

1. Sign In to the ICAI UDIN Portal

Use your membership number and existing password to sign in to the portal.

2. OTP Authentication

The one-time password will be sent either to the registered mobile number or email ID. You need to use OTP for successful login.

3. Fill in Client & Documents details

The important details like client name, date of signing, type of certification, and key financial figures.

4. Generate UDIN

After completing the above details, submit to the portal. The portal will generate a unique 18-digit UDIN number. This number needs to be mentioned on the document before handing it over to the client/authorities.

5. Download/Print UDIN Acknowledgement

For your office records, CAs can download/print the UDIN acknowledgement from the portal.

Important Note

The UDIN is a unique, tamper-proof, that cannot be altered or reused for another document. However, it must be generated within 15 days after signing the document to be valid.

Who Needs to Use UDIN

Simply put, all chartered accountants in practice in India must use UDIN. For every attestation a CA provides, it ensures that each document is accurately identified. CAs must generate a UDIN for:

1. Audit Reports

Including statutory and tax audit reports, or any internal audit.

2. Certificates

Including but not limited to certificates of net worth, turnover certificates and confirmations.

3. GST and tax audit report

Whenever the CA will be signing or certifies the reports.

4. Financial Statements Attested by Chartered Accountants

Including balance sheets, profit and loss accounts, and the associated reports, the CA has certified.

5. Other Attestations

Whenever a report, document, or form is attested in a professional capacity.

This means that all documents carry validity with counterparties, clients, regulators, etc., giving UDIN the value for professional trust and confidence.

How to Verify UDIN

1. Go to the official UDIN Portal

2. Click on the ‘Verify UDIN’ option given on the homepage.

3. Enter the 18-digit UDIN mentioned on the document.

4. Enter client details (mentioned in the document) for matching records.

5. Submit the request to see verification results.

As soon as the portal receives your submission, it will rapidly confirm the validity of the UDIN as well as provide details such as the CA Membership number, client description and document date. If the UDIN you entered is wrong or does not exist, the system will warn the user that the document is not credible.
