Employers should maintain UAN records, deduct the employee contribution, deposit both shares on time, and file required electronic returns. EPF contributions are generally payable within 15 days after the close of the month.

2. Employee’s State Insurance

ESI provides medical benefits to employees in covered establishments. The employer’s contribution rate for ESI is 3.25% while the employees contribute 0.75%. As of now the wage ceiling for ESI coverage is sety at being at a rate of ₹21,000 per month.

Employers must identify employees, deduct the employee share, add the employer contribution, and deposit contributions on time. ESIC states that contributions are generally payable within 15 days from the last day of the calendar month.

3. Salary TDS

Employers must calculate and deduct tax from salary when applicable. From April 2026, salary TDS for the new tax year is governed by the Income Tax Act, 2025. Employers should consider projected taxable income, the employee’s chosen tax regime, eligible deductions, and exemptions while calculating TDS.

Employers should also complete TDS deposits, quarterly statements, and employee documentation. Form 16 remains an important salary TDS certificate issued by the employer.

4. Professional Tax

Professional tax is a state-level tax levied on the employe/professinal according to the rules of the States or UTs. Employers must deduct where applicable from wages, make payments to the state authority, annd fill out required forms. The different jurisdictions have different requirements on the rate, threshold, exemptions, and guidelines for filing. For employers who have employees across state lines, stay location-wise compliant.

5. Gratuity

Gratuity is an important employee benefit. Under the existing framework, gratuity generally becomes payable after the required period of continuous service, subject to statutory exceptions. The code on social security, 2020 takes precedence, and the Ministry of Labour has stated its gratuity calculation rules will come into effort from 21st November 2025.

The eligible service, wage components, nominations, and settlements should be recorded in payroll to ensure a correct exit for the employee.

6. Minimum Wages and Wage Records

Pay is subject to conform to minimum wage laws. Employers will need to assess wages using the employee category, skill level, locality, and information from governments. An accurate wager register, attendance, leave details, payslips, overtime details, and statutory records should also be kept by businesses. Records are more accurate and easier to manage for an audit or employee query.

A practical payroll calendar should separate monthly, quarterly, and annual tasks. Monthly tasks can include payroll processing. PF and ESI calculations, statutory deposits, professional tax payments, and payslip generation. Quarterly tasks may include TDS statements and reconciliations.
